File Upload / Patient File Management

Patients with accounts can upload .png or .jpg files that can be reviewed by staff.

• A patient must have an account to upload files
• From the files tab, choose “Add File”

  

• A dialog box opens that allows one to upload a file. Allowed file types are PNG, JPG, JPEG, or GIF.

  

• Once the file is uploaded, it can be seen in the patient account, and will have a status of “pending”. At that point, the patient can still delete the document. However, once it is approved by a staff member, the document will show as “approved” and can no longer be deleted.

  

• Files uploaded by patients will show up on the “Patient File Management” tab within VSC where they can be reviewed by staff.Staff members can preview that document. They can also download the file in order to attach it to a relevant patient.In the review field, the staff member can “Approve” or “Reject” the document. Once the staff member Reviews the file and selects the “Submit” button, the entry will be removed from the Patient File Management tab and the file will be moved to an appropriate folder.

  

• Storage of files uploaded by patients. Once a file is uploaded by a patient, it will be stored in the directory designated by the REMOTE_PATIENT_FILES_LOCATION setting in VSC. It will initially be stored within a subfolder called “pending” in yet another subfolder that is labeled with the patient name and DOB. Once it is approved or rejected, the file is moved to another subfolder – either the “approved” subfolder or the “rejected” subfolder. Again, the file will be stored in a subfolder with the patient name and DOB so that staff members can easily retrieve the file and attach it to the correct patient.
